The Right Auto Responder is Crucial to Your Online Success
In the last couple of weeks we've been doing a series of articles regarding features and benefits one should look for when searching for an affordable yet effective auto responder. Today we want to expand on some additional things you should look for when considering any type of e-mail follow-up marketing system. Doing your research and due diligence early on in your search for the right program can save you valuable time and money now and in the future. Being informed and choosing an auto responder program wisely is a critical function that will pay off handsomely rather quickly in your marketing efforts.
Look for a responder system that has the ability to manage any bounced e-mails. Each time an e-mail to one of your subscribers can't be delivered and shows undeliverable, the failures are noted in your subscriber's record. This will help you keep your database clean and uncluttered with old address and unresponsive contacts.
When the number of failures reaches a certain level (as defined in the e-Mail failures setting in the profiles screen), the subscriber will have their status changed to "Failed" and no more attempts will be made to send email to that subscriber.
This allows you to take quick action on any failed subscribers because you can quickly and permanently delete such issues from your system by selecting the Subscribers, Global Tasks, Delete Failures option from the menu bar. You will be asked to verify and confirm your actions.
You should be able to use the "De-Duplication" and "Quick Remove" Features to remove subscribers from your database. Some systems provide this feature, however, many responders don't offer this function at all. You should have the ability to "Add", "Find", and "Filter" subscribers quickly in any system you choose.
Another necessary feature will allow you to export your subscribers in CSV (comma separated variable) format. This is a text file format that many software programs, such as contact management systems will import. This is a vital part you should make sure is included in your final choice of responders.
When you export your subscribers in CSV format, you will be prompted to save the file to your local machine.
Exporting happens in real time and you will be emailed a report when the export is complete. (Make sure you have entered a workable email address in the Profile screen.)
By having these features in your auto responder system, such functions will help in making your "list" of housekeeping chores easier, up to date and more effective.
A responder system must include a powerful broadcast feature that allows you to send "one-off" email messages to your subscribers, independently of any follow-up messages they might be receiving.
For example you might use the broadcast feature to send out a weekly offer to everyone in your sales letter sequence. Or you might choose to send a monthly newsletter to all the subscribers in your auto responder system.
Broadcast messages should include plain text, HTML or multi-part (both plain text and HTML). The version your subscriber receives will depend on the preferred format settings in their subscriber records.
With so many options available, it's a good idea to practice sending broadcast messages to a small number of your own email addresses so you can become familiar with this whole follow-up process! Campaign management is also critical to have in your system which allows you to control what happens to a subscription when the end of an auto responder's follow-up sequence is reached. This is called completion management.
There are basically three choices your system should include for what will happen when the sequence mailers end:
Flag As Finished - the subscriber's status is changed to "Finished". Even if more follow-up messages are added to the sequence at a later date, the subscriber will not receive them until their status is changed to "Active".
Retain Active Status - the subscriber's status remains "Active". If you ever add more follow-up messages to the sequence, the subscriber will receive them as well.
Loop - the subscriber is moved to another auto responder or back to one of the messages in the same auto responder. You can choose which auto responder they should loop to and how many days should elapse before the loop occurs.
When a recipient receives your responder message and clicks that link, the "clicks" counter is incremented and the subscriber is redirected to the URL you entered in the link's settings.
You will want your responder system to have a powerful filtering feature for selecting groups of subscribers that match certain criteria. The Quick Find system we discussed earlier in our writings is a simple form of filtering.
When you've filtered your list (even by using Quick Find), that filter should remain in place until you clear it. The filter should remain between your responder sessions.
When your subscriber list has been filtered, the selected subscribers are said to be "grouped". Once the grouping process is set up then you can perform actions within these grouped subscribers by selecting options in the Subscribers, Filter, Group Tasks menu.
Last but not least is the availability of a support system if you have questions or encounter problems. Many companies offer support for their products by email only and if you're lucky you may get help within the next 72 hours or maybe not at all.
Your responder choice should include email support, chat, phone or video conferencing with a member of their support staff. If the responder system you're looking at doesn't have contact information in several places then you should look for another responder to participate in. Your system is only as good as the support department of the program you end up choosing.
